Upload Student Roster CSV

This topic covers how to add students to the school roster by uploading a CSV (comma separate-values) file.

  1. Select Students from the left sidebar.

  2. Hover over the Add Students button, and select Upload Roster CSV from the drop-down menu.



  3. Select download a CSV template here to download the correct student upload template.



  4. Once downloaded, you can add students to the CSV file through a spreadsheet program on your computer.
    • You do not have to fill in all of the cells; only the Student ID, First Name, and Last Name columns are required.
    • However, do not remove or rearrange any of the column headers. If column titles are missing or rearranged, the file will not upload into Engrade.

    Remove any special characters, such as commas, exclamation points, tildes or accent marks from the file before attempting to upload it.

    Student ID numbers must be at minimum 5 alphanumeric characters in length.

    Phone numbers must be 10 digits in length.



  5. If you are using a Windows computer, save the file as a Comma Separated Values (.csv) file.

  6. If you are using a Mac computer, you will need to save your CSV file in a slightly different format. If you use the default Comma Separated Values (.csv) file format, you may be unable to upload your file.
    • Open the file in Excel, and select File and Save As.
    • Under Format, select Windows Comma Separated (.csv) from the drop-down and save your file.



  7. Once your CSV file is complete and saved on your computer, you can return to the Upload Roster CSV screen to upload the file.

  8. Click the Choose File button to find and select your file. Once the file it is selected, its name will appear next to the button.

  9. Select the Upload CSV button to upload the file.

  10. Your roster has not successfully uploaded until you see a screen with all your student information displayed in a grid and a blue box at the top asking you to confirm you would like to upload these students. Please make sure that you have entered the correct student information into the cells with the exact column headings provided in the CSV template.



  11. If you would like to add additional columns, you will first need to create custom fields from the Students page. For instructions on creating custom fields, see the support article: Edit Custom Fields

  12. Select the Yes, Add Students button to complete the upload.

    If student ID numbers in the CSV file match existing ID numbers in Engrade, information provided in the CSV file will overwrite existing students rather than create new students at your school. If you would like to create new students, ensure that you have used unique ID numbers in your file.
